GenAI Policies

Optical and Magnetic Materials Letters (OMML) acknowledges the growing role of generative artificial intelligence (GenAI) and AI-assisted technologies in scientific research and scholarly communication. To ensure transparency, reproducibility, and the integrity of the scientific record, OMML establishes the following policies governing the use of GenAI tools in manuscript preparation and evaluation.


1. Use of GenAI in Manuscript Writing

  • Authors may use GenAI tools only to assist in improving language quality, clarity, readability, grammar, or style.
  • Any AI-generated content must be carefully reviewed, verified, and edited by the authors. Authors remain fully responsible for all intellectual content.
  • GenAI tools must not be listed as authors or credited with authorship.
  • Authors are required to declare any use of GenAI in a dedicated section placed before the references in the manuscript.

Example Declaration:
During the preparation of this manuscript, the author(s) used [NAME OF TOOL / SERVICE] to [STATE PURPOSE]. The author(s) reviewed and edited the content and take full responsibility for the final version of the manuscript.

  • The use of basic tools such as spell checkers, grammar tools, or reference managers does not require declaration.

2. Use of GenAI for Data Analysis

  • The use of AI tools for research purposes (e.g., data analysis, modeling, simulations, or generating insights) is permitted.
  • Authors must clearly describe the use of such tools in the Methods section, including sufficient detail to ensure reproducibility and transparency.

3. Use of GenAI by Reviewers and Editors

  • To protect confidentiality and maintain the integrity of the peer review process, reviewers and editors are not permitted to use GenAI tools (e.g., ChatGPT or similar systems) when evaluating manuscripts.
  • OMML will continue to monitor developments in AI technologies and may revise this policy as appropriate.

4. Ethical Responsibility and Accountability

  • Authors are fully accountable for all aspects of their work, including text, data, figures, and interpretations, regardless of AI assistance.
  • Any misuse of GenAI—such as undisclosed AI-generated content, data fabrication, or plagiarism—constitutes a violation of publication ethics and may result in:
    • Rejection of the manuscript
    • Publication of corrections
    • Retraction of the article

All actions will follow COPE guidelines.


5. Transparency and Compliance

  • Transparent disclosure of GenAI use ensures trust among readers, reviewers, and the scientific community.
  • OMML encourages the responsible, ethical, and transparent use of AI technologies to support clarity, reproducibility, and the advancement of scientific knowledge.
